Cancellation policy

Cancellation policy for the trip are as follows:

Free Cancellation: 50% Cancellation Charge: 75% Cancellation Charge: Full Charge:

When the cancellation is made at least 1 month before the meeting.

If you cancel the trip 30 days before the Day Trip, a cancellation charge of 50% will apply.

If you cancel the trip 15 days before the Day Trip, a cancellation charge of 75% will apply.

Cancellations less than 15 days before the meeting will result in the entire amount being charged.

Deadline

The registration and payment for the Day Trip must be done at least 15 days in advance.

The One-to-One Meeting Scheduler will open on 21st April 2026

The One to One Meeting Scheduler will open on 20th April for those agents who have applied and paid for the Priority Access to the One-to-One Meeting Scheduler and on 21st April for the rest of the agents. On that day, at 12:15 noon (Paris/Madrid time), delegates will receive an email containing a link and personal login details to book their meetings for the event dates.

These face-to-face meetings are the fastest way to get business done - no weeks of emails or video calls. In just 20 minutes, you can discuss project details, explore opportunities, and move your partnerships forward.

More than efficiency, these meetings build community. Connecting in person encourages natural interaction, fosters trust, and strengthens relationships, laying the foundation for long-term, productive collaborations within the network.

  • Distance from the hotel: 25km.
  • Travel Time: Around 1 hour by car directly linked to the Express Way.
  • Approximate costs: Around TBH400 to TBH600 (approx. USD14-18).
Don Mueang International Airport
  • Distance from the hotel: 20km.
  • Travel Time: About 30 minutes by car directly linked to the Express Way
  • Approximate costs: TBH350 to TBH700 (approx. USD11-12).

Airport Rail Link to the Hotel

For a fast and convenient connection to the hotel, the modern Airport Rail Link takes about 40 minutes:

  • After baggage claim and customs, proceed to Basement B for the Airport Rail Link platform.
  • Take the Airport Rail Link to Phaya Thai station.
  • From Phaya Thai, transfer to the BTS Skytrain to reach Chidlom station.
  • Tickets are available for single or round trips, with services running from 06:00 to 23:50.

Transfers are available at the following prices:

Bus

Buses are another way to reach Bangkok’s city center. First, passengers need to travel to the main bus terminal, where they can transfer to a connecting bus heading to their final destination.

Visa exemption (60 days)

Nationals of the following countries and territories are entitled to visa exemption for the purpose of tourism business engagements or urgent work or ad-hoc work, for a up to 60 days period of stay and can be extended for another period not exceeding 30 days. Extension of stay is solely at the discretion of the immigration officer. Before the maximum stay of 90 days are eligible to apply for a new type of visa in Thailand.

Step 1: Prepare Your Documents

Make sure you have the following ready:

  1. Passport – Only ordinary passports are accepted. Must be valid for at least 6 months from your travel date.
  2. Passport Copies – Colour copies of the bio page and last page, showing full name, nationality, date/place of birth, passport number, issue/expiry dates, and other relevant info.
  3. Confirmed Travel Itinerary – Flight tickets to Thailand and return or onward travel.
  4. Photograph – 6x6 cm (minimum 600x600 pixels), colour, white background, with at least 80% of your face visible.
  5. Visa Application Form – Completed and signed. Available on the official visa portals below.

Thailand E-Visa Portal

The official platform for applying for a Thai visa online is the Thailand E-Visa Portal. This system allows travelers from eligible countries to apply for various visa types, including tourist and non-immigrant visas, without visiting a Thai embassy. You'll need a valid passport, a recent passport-sized photo, and a credit or debit card for payment.

Step 3: Apply Through Thai Embassy or Consulate (Offline Option)

If you're not eligible for an e-visa or prefer to apply in person:

  1. Locate the Nearest Thai Embassy or Consulate: Visit the Thai Ministry of Foreign Affairs website or the Thai Embassy and Consulates website to find contact details and application procedures for Thai diplomatic missions in your country.
  2. Prepare Required Documents: Typically, you'll need a completed visa application form, a valid passport, passport-sized photos, flight itinerary, hotel bookings, and proof of sufficient financial means.
  3. Processing Time: Visa processing times can vary, but it's advisable to apply well in advance of your intended travel date.

Step 4: Entry Requirements & Arrival

  1. Thailand Digital Arrival Card (TDAC): As of May 1, 2025, all travelers must complete the TDAC online up to 3 days (72 hours) before your arrival. This replaces the paper TM6 arrival card and is mandatory for all foreign nationals entering Thailand by land, air, or sea.
  2. Financial Proof: Starting May 2025, Thailand has reinstated the requirement for tourist visa applicants to provide financial proof, demonstrating the ability to support themselves during their stay.
What is the TDAC?

The Thailand Digital Arrival Card (TDAC) is an online form that foreign visitors must complete before entering Thailand. It records your travel details and serves as an official entry document for immigration.

How to Apply
  1. Log in. Visit tdac.immigration.go.th within 3 days before your arrival.
  2. Fill in your details:
    • Personal: Full name, nationality, phone, email, passport info
    • Travel: Flight number, purpose of visit, address in Thailand (eg: your hotel address)
  3. Submit and receive confirmation. Once you submit the online form, you’ll get an acknowledgment email.
  4. Show it at immigration. Present your confirmation email along with your passport when you arrive at the immigration counter for verification. Visit this website for further details: https://www.immigration.go.th



Yellow Fever Certificate

There is no risk of Yellow Fever in Thailand.
Yellow fever vaccination certificate is required for travellers over 9 months of age arriving from countries with risk of yellow fever transmission.

Language: Thai is the official language but English is widely spoken.

Time: UTC/GMT +7

Money: Baht (THB).

  • Credit cards are widely accepted in hotels, tour agencies, as well as certain restaurants and shops.
  • Major currency bills and traveller cheques are cashed easily at hotels, tourist shops, all provincial banks, shopping centres and money changers.
  • You will need cash for markets, streets stalls and when paying for transport.

Tax: VAT 7% (Refundable for tourists in participating stores)

Temperature: Hot and humid is the best way to describe Bangkok’s weather. The hottest months are from March to May when temperatures can reach as high as 40C/104F.

Religion: Over 400 temples serve the 92% of the population who are Buddhist. The remaining 8% is made up of Muslims, Christians, Hindu, Sikhs and other religions.

Manners and Etiquette

  • Thais greet each other with a WAI (by pressing the palms together at the chest), so if a local offers a WAI then it is deemed proper to return it.
  • Smile! It will help you to be more polite and get you out of confrontational situations, which Thais hate.

  • Beware: Cars drive on the left side of the road as per the UK, Australia etc. Watch out for motorbikes; It is best to use pedestrian bridges to cross roads as cars are not known for stopping at crossings, even when the lights are red!
